We are here to give you more free time for family and hobbies
by computerising your boring or "life-and-time-stealing" stuff!


With that in mind, our first objective is to make the best software in the world,
but keep it consistently affordable to any size of business and assist in this
with fair payment plans.  Allowing you to spend that money on your family instead

Our second objective is to not take advantage of people who do not know

Our third objective is to outsource everything that is not 
software so that the extra costs of computerising are kept to a minimum and 
profit is not 'sneaked in' by adding middle man commission % to hardware 
and extras just because people do not know the costs involved.

What was your origin and beginnings?

We are originally a English-UK based company who now serves the world,
we are Alpha Task Limited UK, have been writing software for 25 years and been running since 1997.

We have been working with salon\spa\other businesses from 2002
and originally built Platinum specifically for Salon\spa but with 
hundreds of ways to customise, it can be used by most business types now.

Platinum was written by a top programmer who has worked on Microsoft projects in
the past and we continue to work directly with Microsoft on testing pre-release and
cutting-edge technologies.

Platinum is compatible with different businesses and is used by businesses all over the world.

We advise you fully on *hardware and software* solutions. Strictly to YOUR 
budget and we have a policy of no hidden or 'must have' costs with no pressure advise.

When you 'Go-Live' you will clear out your demo/test data as standard
BUT
We can move/transfer all of your demo data to a brand new computer when you go-live.
Read very carefully the messages that popup when you "go-live"
you can just go-live and keep all your data
you can then remove only test appointments or selectively keep data you want to keep.

We have no responsibility to fix a 'computer' that you have bought yourself
or an older machine not bought via our suppliers.

Is the computer freezing up?

ie. nothing works, mouse doesn't move, other programs along the bottom do not respond.

when you press the windows key on the computer keyboard does the Start menu pop up (bottom left programs menu shows)?

If so the machine is unstable and needs to be rebuilt Asap.

This is nothing to do with Platinum and you should talk to the computer supplier,
if the supplier was via our preferred supplier we can give you their contact details.


OR


Platinum just freezes and other programs are working fine.
e.g. You can click along the bottom and open\close and interact with other programs.

If so, this does sound like Platinum is at fault.


Does this always happen at a specific time of day or event in Platinum?
e.g., during a payment, a receipt being printed or is it always after about 4 hours use. Any pattern involved?

The demo disc you sent us was blank/there was nothing on it!(demodisc demodisk)

The demo DVD is a DVD format disk.
You cannot run or play it on older computers with only an old CD-ROM drive.

It needs a DVD drive like in your TV or a more modern computer.

Try downloading it or try the disk on a more modern computer.

You can always plug the disk into your TV DVD player for a quick view of it as there is a demo movie.


The disk could also have been damaged in the post and we are happy to send you new one.

where we visit you, is 250 a day (plus any travel/expenses).

Most take the free setup over the phone/Internet option.

Why is Platinum at the cutting edge of 'Intelligent Software'?

A good example is that some employees require longer for certain services/treatments and 
usually this data setup is very expensive and quickly out of date.


Platinum is unique in that it uses 'Artificial Intelligence' and 'learns' how long your staff take to do services/treatments.
This is cutting edge and also allows you to save money on expensive basic setups as Platinum 'learns' the durations instead.
To audition this pop a service in with an employee and set the start time duration to 60 minutes/1 hour.
Now create another new appointment with the SAME employee but a DIFFERENT customer. You will notice 
that it learned that the service took 1 hour.
This is smart enough to know up to 4 services with 2 employees on the same customer and 
intelligently learns how your staff work!

It is also possible to manually alter the times for the services at the time the appointment is made. You can amend the start, processing and finishing time to reflect the time required. On the appointment details screen there is a drop down menu for each timing, you just select which one you require.  
If for some reason this will not work for you, a set duration can be assigned as a default initial duration.  

Once ordered how long does it take to get it delivered?

The software can be downloaded within 15 minutes and be up and running once you add your sale-items.
Extra hardware; receipt printer, etc. can be next day delivery if ordered before 2pm 
The Dell computer depends upon Dell delivery; allow a week to 10 days but maybe faster.

Do I need Internet to use Platinum; can I use 3G broadband via my phone or USB dongle?

No you do not NEED Internet, Platinum can run without Internet.
If you want to do electronic marketing with eMail and SMS Mobile text messages then you DO need Internet.

If you can browse to a web page then Platinum will send messages out BUT we recommend WIRED connections 
via your Telephone land line. Wireless is very often unreliable even if it seems OK when just browsing.

This means that 3G via your phone and wireless Internet are not advised as they 
can disconnect randomly - you can of course try and it may be fine.

For SMS text messages we use a high quality 3rd party provider who allow bulk purchases.
You cannot send out free texts via your own mobile phone package.
You can use a landline number as the text message reply number, provider depending, it may call and read the SMS to you or the staff.
Speaking technically; you need Internet access to allow it to work via a HTTP API.
For Email, you need "Internet access" to allow it to work, you then use your own broadband SMTP-email provider
who allow you to send out cost-free emails.

I am also looking at Internet only/web page based software rather than it running on my computer, do you have any thoughts?

Update: We have recently heard about a web-based software company closing down
and a customer loosing all their data, we can put you in touch with the ex-customer if needed?

Yes, Do not do it! In fact some of the more technical people who contact us 
specifically ask if we are just an online system (web-based)
and they do not want it because of Internet connection stability.

Platinum is not an online system but there are very flexible solutions for home/back office
access without interupting the front desk/reception.

Online(web page based) only is dangerous as if your Internet connection goes at your business
your entire customer database and appointment schedule is not visible and completely out of action,
to me this is a real and serious business risk!

They will sell it to you as 'your data is automatically backed up', but think, why on earth
would you want anyone else to be responsible for backing up your precious data?

We have customers who have been through this and are quite happy to tell you 
about their bad experiences and why they switched to Platinum.

How long does the free online demo last for; where a person shows us the system?

You get one hour free tutoring over the internet and telephone to see if it will suit your business.

Is there any other information I should know?

Our product works 100% on XP and Windows newer than XP - We do not advise XP Media Center version - it will work on this, with configuration, but is not advised at all.

**Your physical computer monitor/display screen size must be 15 inches or larger**

If it is a widescreen you may get blank gaps around the bottom and right side but this will not effect use.
If it is larger than 15" it may look magnified and very large but this can be changed via the 'resolution slide' feature.


The free e-mail help is not premium e-mail help and so you
could wait for replies,
but you do have the free help webpage (see above).

We also have hardware partners if needed and so you will
be well looked after while putting together a fully tailored system.


There are no hidden or reoccurring costs other than the leasing option above.


If a computer fails with Platinum on, providing you have a backup, we can restore
and get you up and running again within 24hrs.


To recap: You can lease/rent per month with an optional
small fee on top of that per week for help, giving you 4 phone calls

Credit Card Payments from MY customers?

The Money Transfer details for paying us for a system are here.


You can process payments with your normal credit card swipe machine as always.
(also see Chip and Pin below)

A much more expensive option is to have Platinum talk to your credit card machine to send the
due amount. This requires a special machine.

Our providers do very expensive card machines, about 650, that connect and send the due amount
directly to the credit card machine automatically meaning less mistakes by staff but they are EXPENSIVE!

Most buy a cheap one or lease credit card machines directly from the bank
mostly this happens due to banks only approving their machines for transactions,
this is sensible as it covers you with the bank for frauds, legalities, etc.

A cheaper way is to use an Internet provider like worldpay
Internet credit card processing if you open
an account with them Platinum will send the due amount any customer details to the web page 
- you just type or swipe the card into the website. Easy and cheaper.

We strongly advise you to contact your bank in the first instance to get a card 
reader. It is a matter of the issues surrounding legal/fraud cover.

Chip and Pin Integration?(bank banks integrate paying payment chippin)

Below is information about Chip and Pin integration with Platinum.

Something to keep in mind is that Chip and Pin costs you a lot more than
simply leasing a credit card machine from your own bank.

You have to buy/lease the machines and pay a covering charge anyway per month
and also a fee per year to the supplier of the chip and pin service.

We recommend that you talk to your bank as a first step to establish your fraud liability.

A lot of owners are not wanting to spend this money up-front and instead are absorbing the cost 
of any card fraud themselves, as it often works out cheaper.

are using Internet based websites to cut the cost down like WorldPay.com


Costs involved:

Our hardware supplier can offer each of the pin pads for around 200 each
This price is 'direct' to you and is why it is cheaper than you will see elsewhere.
Other companies make a % commission on brokering the sale but we do not.


The acredited chip and pin service supplier will charge a monthly charge and a yearly charge
and an initial setup charge per site.


The third option is for us to get acredited directly as a software company.
This can costs thousands and take 9 months to 3 years to proces.
This initial cost would then be passed on to each new customer who takes on Chip and Pin,
that means you!
which we do not feel is fair, and so have not persued that option.

If you do want hardware and software in a lease term agreement

Platinum sends free emails by using your own Internet Providers email service (SMTP).

All messages can be sent automatically to remove stress.


Reminders - Sent the day/s before an appointment to remind them to come in with time and employee name

Thank You - Sent on the day of an appointment to say "Thank You for coming in today"

Proactive - Send out after the customer has not been for a visit for a while,
            eg. 6 weeks with a 5% off offer. 'Comeback and see us' style messages.
 

All - An E-mail\SMS Text Message that can be sent out to all customers on the database.
      Happy Christmas, thanks for your support this year, etc.
      The actual message can be altered and edited at the time before sending.

No Show - An ice-breaker message, sent if they do not show up for an appointment,
          it generally says sorry you could not make it do you want to re-book a better time?

New Stock Just In - Inform customers of stock that they usually buy is back in stock.

Low Stock Alert - When a products stock level reaches the reorder level you have setup
                  a reorder alert email goes to the managers email address.
                  This saves you time writing anything down at the time.
                  You can also always run a stock reorder report.

Happy birthday - Send a special offer out on their birthday (postal letter, email
or text message to mobile cell phone).

Advanced report-based marketing(choose specific customer groups; see below).

NOTE:

You can e-mail and text message any customers from any of the many reports, easily.
This means you can specify groups who have not been in for a while
and send them a special offer with their exact usual service or product.

Do you have a postal Code\postcode\zip code and address lookup feature?

Yes, we can provide this via a 3rd party for worldwide addresses and post codes.

Please explain the options you have for second copies, home, back office and remote access?(backoffice system access remote access link linked join joined connect connected home use)

All of these are optional but do have either a setup fee or a license fee.

Remote access is where you can be at home in another room or even on holiday
but still be able to add appointments, run reports or change prices on the database,
everything you can do if you were sat in front of the reception computer.

Options for...

Home
====
a. Web browser based remote access; you can sign-in to a web-site and 
see your main reception computer as if you were sat at it. You can 
even print reports directly on your home printer.

The advantage is that you pay once for setup but do not pay for another license.

The disadvantage is that you will interupt reception if you are using
it, only one person at a time, for example, fine for out of hours use.

or

b. A secure link from home to business premises over the Internet(VPN).

The advantage is that you can use the database at the same time as a person
on reception, for example, for back office over-spill phone calls to
take bookings.

The disadvantage is that you must have another license and pay for the setup
of the secure link.


Back Office
===========
Very similar to b. above; but all in the same building instead.

Some people buy the reception license and lease the back office license.



To re-iterate for Home a. above we do generally say that because you interupt
the person using it in the shop that it should be for out of hours use.

Opening another Business
========================

You can control each site in your business remotely.

Either way you can take control remotely(after hours use) or Secure connect in, to book appointments, alter price data, etc. to all sites. (VPN)

Does the computer have to be on 24/7?
=====================================
It is important to say you can shut down and bring up the computer remotely anytime.

You must setup the computer to allow this as, for your security, it is off as standard.
You need to set the "Wake On Lan" to enabled in order to wake it up at anytime.

You will then see a "Wake Up" or "Switch On" button next to the computer on the remote access software.

You must also have power to the computer all the time; so if you have a master switch
to power off the building or room completely it will not work.

Do you do an Internet appointment reservation/booking system?

NOTE: We do need to say that it is not a miracle system to replace a person it is 
      a computerised system and so is not 100% fool proof; it is there to help you.


Our online booking system is called iBook - it is a cutting edge 'Virtual Receptionist' more
flexible than any other product worldwide.

Platinum is a Windows based software system, which is your main purchase.
iBook is a web-based software that "adds-on" to Platinums database
and comes as part of Platinum it just requires setup at a small charge.


You already get the iBook system if you have bought or lease Platinum. Setup is 
a small one-off fee, but there is no ongoing charge like most web providers. 



Options:

The Simple eMail Mode

It can be setup many ways but it can work just via e-mail only, as a
reservation system so the customer is told 'Reserved, we will call you to
confirm'.  You get an e-mail to follow up once your business is open again.

The customer will always be told if their 'first choice' appointment is
available or already taken.  
This eMail method does not change your own electronic daybook/diary at all.

Once they confirm a reservation you get e-mailed the details, it is then up to
you to enter them in to the daybook in the database.




More Advanced Modes

It can also be setup to pop the appointment in the daybook, in red for 
approval, and
then tell you via e-mail and onscreen that there is a new appointment and it will
appear red for approval.

It can even be setup to move existing appointments that are not 'employee-requested'
type appointments so if a customer requests an already busy employee
it will free them like a receptionist would.


This obviously gives great service to your loyal customers who request a specific
employee. Either way you are emailed with the details for your confirmation or 
information.

There is SOME intelligence to avoid double booking; it is not perfect however 
and as with everything you need to read the confirm emails and double check.

Technically:
You have a link to the Internet booking pages from your own website.
You host the pages yourself on your own computer; this is where you
save money over monthly leased services.

There is no connection to us at all, you run a web server on your shop computer.

The text messaging is all done from your own Platinum and your own SMS account which we can advise you on.

What do I need on my broadband service for iBook or a Secure VPN for a home connection?

Your website needs a common address for booking-customers to talk to. 
(same for Secure VPN when the home computer talks to the shop).

You need to ask your Internet broadband supplier to set you up with a Fixed-Static IP Address.

They will charge you a very small amount more per month. maybe 10% more.
Usually its a very quick call and its a no-wait operation (but 24hrs maximum)

Why?

Why does Platinums iBook need a fixed static IP address?

You need a static-fixed IP address because the iBook Internet booking system is self-hosted,
it needs to be the same address each time for your customers to get to it via your website.

It is self hosted for a couple of reasons:-

A) It is cheaper than remote hosting where you would pay 10-20 a month for the hosting platform.
B) It sits on the same computer as Platinum and can talk directly the Platinums data which means
your current booking and availablility information is 100% accurate.

With a quality firewall your security should be fine.
We are also well aware of security issues and only open up port 80 for the iBook which is a
standard HTTP protocol web page.  So its as safe as possible.
We never do a DMZ setup which would potentially open you up for attack. We are professionals!

Your alternative is to setup a ChangeIP.org/DYN DNS.org or such like with your router talking to it.
Netgear or a cisco-linksys(recommended) router would work.
This would save you the Internet providers charge for fixed-static IP.
But from experience this needs more maintenance with a monthly visit to their website to keep the service alive
or
a premium outright purchase to keep the service alive (It maybe a monthly fee depending upon provider)

as they are self-hosted web-pages, machines can be setup to sleep and wake up
during sleeping hours.

The advantage of this "self-hosting" is that you are saving 10 to 20 a month
every month over other suppliers but is why we charge the setup fee as it is
often tricky to get right.

Is there a time delay between ibook and our electronic daybook?

No, this is why it is self-hosted, the iBook webpage feeds directly from your Platinum daybook
appointment information.

Can a deposit paid via paypal on my website be linked to appointment made through ibooking?

Any website page can have a PayPal link on it and we can advise you on how to do this very easily.

As an integrated feature this is a request on our TODO list and will get prioritised higher
if we get other requestsm, so please mention it.

Do you do two way text messages? (2-way 2way 2 way)
Yes, customers can reply to a reminder text message. The appointment will turn red in the daybook if cancelled.
You need XP pro or Windows newer than XP business. 

We need to setup a web server to get it to work and Windows home versions will not work.

You also need to ask you broadband provider for a 'Static/Fixed IP address'

You need the RJ11 if you have a receipt printer that it can go into.

You generally power/signal the cash drawer to open via a receipt printer.


In the old days we have have serial cash drawer working on a PC.

But it is an older way - e.g. new Dell PC's do not have a serial connection on them.


The alternative is to get a USB trigger that will power and trigger the cash drawer
about 50 for that and 80 for the drawer. 130+ the vat tax on top.

Can I use any cash drawer trigger with my cash drawer?

Crucial notes:We encourage you to send this to the company you are buying from.

You need a USB cash drawer trigger as modern computers do not have older connections.

You need to preferably buy the cash drawer and the trigger from the same company
so you know they are compatible. We have a preferred supplier for this.

The provider of the USB Cash drawer trigger *MUST* provide a  . exe program that triggers the cash drawer.
Platinum calls this when needed and is absolutely crucial to work properly.

Is the touch screen a requirement; presumably a mouse and existing flat screen can be used instead?

I am presuming the the touch screen is very much a nice-to-have rather than a requirement?

Yes, it is purely optional, however if the staff have mess on their hands the back of the knuckle can be used to check people out
the system is very much designed for touch with its nice big and obvious buttons.

If we were to have 2 screens and 2 keyboards would we be able to work independently from the one computer box/hard drive?

You could share a receipt printer and cash drawer but you would have to buy 2 
copies of the software, two screens and two computer boxes. You could buy just 
one touch screen for the main one and one normal screen to keep the costs down. 

We can look into sharing one computer but it is not recommended for the extra 
cost involved of a second computer as they are so cheap.

What A4 normal printer do you recommend for printing my reports?

Canon is a good solid brand and has cheaper ink. Generally more expensive 
printers = less expensive ink.  Cheap printers means expensive ink as this is where 
they make their money, on the ink refills.  Do not get a cheap Dell-Lexmark 
or you will pay a lot for ink. Try to find an ink refill shop 
like 'Cartridge World'.

Get a recommendation from a local school or a friend so 
you get a quality shop. If you do not want to print out full colour you can set the option in
the printers setup (driver) to only print black and white, a Canon printer brand can do this,
or buy a cheap Black AND White printer just for the day today printing.

I am getting a desk made, what are the dimensions of an average Cash Drawer?(cashdrawer cashdraw fitting)

You will have to get a local workman to fit your cash drawer.

17.8" (W) x 19.1" (D) x 4.2" (H)

Regarding fitting our supplier says:

Depends on the drawer
The supplier "Cashbase" supply a "u"  shaped cradle (specific to the drawer)
that screws to the under side of the counter top

Do not put screws in to the drawer as this will invalidate the warranty!

Usually a shelf under the counter is the best option.

Does the program work with latest Windows?(compatible versions)

Yes, it is 100% compatible. Out of the box or straight from the download website.

We achieve this OFX integration by interacting directly with Microsoft Accounting software
which is free for download at the moment(Aug 2009).

A custom batch of reports can also be emailed nightly to an email addreess.

We have some products from a small supplier which are not barcoded how do we handle this?(import)

I have seen systems which will create and print bar codes to stick on bottles.

Yes it can do this you may need excel installed on the machine or on a home computer,
we are not excel experts unfortunately and don't support it.

Can we link two programs running in the reception front office and at home or back office?(Lan Wan link linking connecting master slave)

Yes, it is possible, is very flexible but is a more technical setup that we can help you with fully.

If one computer crashes does this affect the program running on the other computer?

Only if the Main business side crashes. you are sharing the main front office/reception sides data and database engine you see. 
so if that goes the lot goes. 

From the home\back office side any off/crash will not effect the front office/reception which is the right way around! 

Of course the Internet connection must also be up on the front office/reception side.

Can the software and computer in the reception/front desk be shut down every night?

Yes providing you have finished with it? 
If you jump on at different times or early morning, or middle of the night, then the reception/front office computer 
must be on all the time to give you that flexibility.
It could equally be timed to shut down after 2 hours or something so you have time to investigate after they go home, etc 
and then it shuts off. 
Modern hardware is fine to be left on in this way and if you bought our dell package you have the 2 year on-site cover also. 

Are there any issues with multi-sites and any time difference between countries/computers?

We cannot see any problems with this as each machine is in its own time zone writing site and date specific data to a database.

Is it necessary to fully close down Platinum to Save Data or are all transactions / appointments etc...saved after every transaction automatically?

Data is saved the split second it happens. Backups are automatic when the program closes (you see a black screen - wait for it to close) 
It is crucial to buy a USB pen drive and pop it in the computer before closing Platinum - to do an off-site external backup for fire/theft reasons. 
You must then always check the date and time on the USB pen drive backup to make sure it is todays and working properly.(we help with all setup) 

Is there an automatic log of when and how many stock items are added into Platinum?

Most events are logged in the General... 'Whats been happening report' if you use pin codes per employee it will also show you who did what and when 
This can include timekeeping:start of day, end of day and break times, Platinum session login and log out, new products added or altered, 
new\edited customers, new/edited appoitments, indeed any changes to most data, all logged with employee name (if you use pin numbers) 
If you need more events added that you notice are missing we can do these for you no problems. But I believe it is all covered. 

How do I set up pin codes for employee access?

You can setup a time out period where it will lock after X seconds and need the pin again. 

Am I correct that there are new updates to Platinum each year?

Yes releases are as a minimum each year *IF* you are 'leasing' the software.
We have the very latest technologies right now, and are compatible with current Windows operating system versions.
We see no need to upgrade within the near future (5++ years). 
Future upgrades are half of the full price if you buy outright.
(NOTE: If it is a concern, you get yearly upgrades if you lease the software - talk to your accountant 
to see if you can achieve deductions for software lease) 

Any time changes are needed, like an upgrade - simply hit the 'Contact me' button at the bottom of the first screen, 
detail the issues, requests or changes and leave the computer on when you leave for the day. 

What happens if the VAT rate changes again, can this be easily fixed by us, or do you need to do this?

Yes its easily set from the easy/more setup area on the main menu, it alters any non-zero amount to another specificed amount;
e.g., 15 to 17.5 on all products and services.
You can also individually select tax on a per product or service bases, from zero tax rate upwards.

We are based in Channel Islands or Ireland will we be invoiced plus UK VAT-Tax?

(checked as of Aug, 2010)
For Channel Islands VAT is set as Zero Rated on the Invoice (you pay us the Net value).

Ireland If you are VAT registered we need to obtain your VAT reg No and show it along with
the 2 character country code on the invoice and charge the VAT at zero rated.

If you are not registered then unfortunately we have to show full VAT and you would have to pay that.

One of our customers uses the TAB or My-Storage area for  Direct Debit customers, but we use Platinum ourselves here and import our bank 
files (.OFX) into the accounting module that Platinm talks to (Microsoft Accounting 2008)
we use this to check that everyone who is supposed to be paying their Standing Order (SO) are indeed paying by using the payment 

references. I see no reason why you cannot do the same - there are *no* extra charges at all. 

Licensing 2nd Copies: Can you operate a screen in the reception and use another computer in the "back office" or just behind the desk?(licenses)

and get to know you and help your business grow.

You can do what you wanted but you would have to buy a second copy for 'back office'.
OR
Take over the second computer from the back office to run reports, etc
thats the free option(initial setup cost), but would interupt them at the front desk.

Either way it could be a very basic cheaper non-touch computer you use
and so can be a lot less initial setup of that second machine.

You can lease or buy but, as always, if you buy there is nothing more to pay
and you get free email help for life.

Telephone Help?

You get 30 days free Premium up-front telephone help to get you started, most questions are asked then.
After that you can use the Contact Me button on the first screen for the free email help.

Telephone help is an *OPTIONAL* 5 a week for 4 calls a month.

You can however pay us 10 to cover the girls for 2 weeks should you go on holidays; its super flexible with us.

Premium vs None. How fast is a premium e-mail response compared to the free non-premium?

Most people do not have any problems with Platinum at all.

They read the user guide and can self-help using the blue "help me" button that is bottom right on the main menu.

During the free trial you tend to ask all the questions.

This means you save a lot over other providers forced support packages.

We have an automated responder as standard for all emails which attempts to give you an answer
in a google-style keyword comparison to our Question and Answer information.

If this does not answer your question and we have to answer manually, currently, there is no
difference in reply times between premium and non-premium emails as we have light usage of it due
mainly to the ability to easily self-help.

This may of course change in future but we are setup to allow free self-help and people seem to use
this to save a lot of money over other providers. (some charge 120 a month for help; for example).

If your computer fails you will be given priority to help fix Platinum by restoring your data
once the computer itself is fixed.

Premium support means 4 telephone calls a month,
so does that mean you cannot telephone for help if you dont take it up?

You get 30 days up-front premium telephone and email help and can call if you need a disaster recovery from fire,
theft or computer failure.

You have the email help for life as standard, so we help you as standard,

What technologies does Platinum use?(back-end back end database engine operating systems microsoft MySQL)

Technically: Platinum uses a Microsoft SQL Server express database as its back end database engine 
we are commited to keep this up-to-date as new versions are released,
but only if it is free to reduce costs to you.


It is programmed in the latest language C# . Net 4.0 by Microsoft (pronounced see sharp dot net)


We currently (2011) use a 2010 reports engine and the 2008 database engine which is as up-to-date
as possible. We are working with pre-release technologies now as we always do.

We will always keep Platinum on the cutting edge of Windows technology and aim to work with non-Windows
operating systems in future e.g., Linux.

We integrate on a small level with Microsoft Accounting for more advanced accounting work and
because Platinum has its own database and is a business management tool in its own right with 
customer records, marketing, staff organising and financials.
You could save yourself the cost of any 3rd party business management tools.

If you do need to "ad-hoc tap-into" or integrate into your data; Platinum uses the standard
Microsoft SQL Server Express database and you can easily store and get data from that about your business.

Can we customise with our company logo and change colours to match our livery/branding?(personal touch our name our logo)

I am thinking of franchising and they will be geographically dispersed, how easy is it to add a business?(franchise franchisee)

Each site will need a Secure connection (VPN compatible broadband router) at each site
(cheap and most do it anyway) you can lock down the software to only show them certain reports.
If a very cheap broadband modem box you may have to buy a VPN compatible one.


You on the other hand can connect and see all reports and indeed alter any and 
all data for any site worldwide. If the PC is on you can do it.


You will then be able to view each location's performance/revenue but the individual business can be restricted,
for example to be able to view their own performance.
Cost of adding businesses is included in the free setup of the site.
You will need to get Fixed IP addresses so this will cost you a small
amount more per month from your broadband ADSL provider.

Can we have Secure access to the system to stop staff abuse?(employee security swipe cards swiped swiping)

If you have never changed your secret words (passwords) the user guide shows you
the managers standard password in the first few pages.

We can put you in contact with the providers; you would have to get swipe 
cards, magic wands or thumb print readers.

Which start to cost you more money.

The staff member takes the card home or has 
them in the safe with 1 member of staff responsible for giving them out.
Finger/Thumb print reading of course is less open to abuse but if you think 
they will listen, tell them they will get sacked for using others pin numbers as 
it is fraud. (some manager/owners do this and it works)

Is it possible to attach photos and signatures to a customer/employee profile?

I have a business partner in the same shop, can we keep our finances separate? Would there still be one customer record? (departments)

Platinum is fully departmentalised as standard. All reports are department aware. We just setup separate buttons/business names 
for you to use, if you decide to have two screens each screen can show just that departments information and schedule/daybook.

You can have multi-departments and all share the same customer record, history, etc. and indeed at point of sale it is intelligent enough
to add up all the appointment charges that day in all departments for that one customer.  In other words you cannot forget to charge them the full due amount.

How long does the software license last?(license key code)

If you buy outright you own the license, nothing more to pay.
You can lease it monthly and you then get yearly upgrades.
Your accountant is definitely worth consulting on lease versus purchase as rules change on this.

Can I log in from Home to see what is happening?

You have two options, there are small addition costs involved for each as with all providers:

b) Simple and far more flexible but you take over the machine so you interupt the staff:

Options range from free to long-term-more-expensive and require Internet access at each site involved with SMTP email setup for sending out emails.

There is the "end of day totals mini-report" which he can get on email. Thats free. or via SMS Text (on a per message cost)

The cheapest way is via LMI, on a site by site basis he can "jump on" to run selected reports or his own custom short-list of daily reports.

or

We can (at a cost) setup the PDF merging and emailing of a batch of reports that he decides he wants to see,
they then come into the in-box nightly with the site name in the email subject line
(this is a new feature, comes as standard, but requires setup.

We can pool the data on a nightly "read-only" basis, but there would be costs involved and it will be an extra technical-setup that may need maintenance from time to time.(not recommended therefore/more costs long term.)

Our members pay in advance for say 6 months, they then don't pay for each visit they make, although the service/treatment may change every X sessions.

How would the system deal with a visit but no payment transaction?
We have a TAB, Voucher, a Course and a DEPOSIT concept also.
All customers seem to be happy with these setups, e.g. courses or tab can be used as sunbed minutes and thus gives you that "variable" nature to each visit.
e.g. sunbed 9 mins one visit and 3 mins the next.
You can use that for these types of membership customers who pay up-front.  We have people who uses 'Tab' for these types of situations.

If I sell products online can Platinum be used for stock control?

Currently Platinum has an auction system where you can have people bid on products
stored in Platinum (if in stock) rather like e-bay with watchers, bidders and winners.

We do not have a shopping basket 'webpage application' but have been looking into this.

You can certainly feed another area with data from Platinum as technicaly is a SQL Server 2005 database,
if you have a 3rd party who have a sales website with shopping basket they can easily be linked. (ask for an update on the status of this!)

How would I set up a system for minutes used on equipment? (for example Sunbeds, sun beds)

This requires a simple few steps to configure for minutes used on equipment, this
includes the ability to show the minutes remaining next to a persons name in customer
lookup. Also minutes are automatically reduced as they use the equipment. The minutes
remaining on record can be secured with a password to prevent unauthorised changes
for friends, etc.

To get a refund, you have to work with us to solve any major problems for 30 days
after that time if there is still a major problem you can have your money back.

The process of setting up and configuring professional software is complex and 
patience and understanding is needed along with feedback and then more setup
and configuration is generally needed.

In other words you cannot simply ask for your money back after 365 days just 
because your company closes.

It is supposed to be a way for you to have a no risk, no pressure trial of the 
software for 30 days.

Is Platinum compatible with LINUX?

Not currently, but as things change ask us again, if you can run Windows or 100% PC emulator it should work.

Have a think about these things before you decide:

If your Linux system goes wrong do you have someone who can fix it? 
I would say that 100% of the computer shops you would walk into would not be able to,
it may then cost you a lot more to have it fixed by sending it away. 

That would be a lot more than the money you saved instead of getting a Windows system. 

Is it possible to have a 2nd screen into just one Computer box?

We have established that to buy all the extras it would be nearly the same as a new computer box (A Dell at 285).
You still need to buy a screen also a non-touch screen would be 50+

It would be more trouble for the 100 you may save on hardware.
e.g. the USB VGA plug was 130 odd alone.
Then you need some other special kit to use 2 mice and 2 keyboards along with special software.

The UK company that did sell them do not sell them any longer.

In short an expensive setup for little savings. Lots more that could go wrong also.


Edit:There has been a recent reduction in the cost of Computer video cards,
     you can now get a card with two output ports to monitor-screens.
     This would save you the above VGA USB port cost.
     
What hand held or palm mobile devices can we use Platinum with?

(Please ask for an update on this information,
 currently Platinum runs only from a browser via hand held devices.)

We can setup a remote access solution that allows you to control the computer
with Platinum on from any browser in the world.

A netbook will not run Platinum it does not have enough power for much beyond Internet web page browsing and video watching.

Netbook:
A very reduce power machine, processing mainly(slow brain),
may have a solid-state drive like a USB pen drive/memory stick
versus hard disk which is heavy, noisey and takes more power and creates more heat.

Notebook:
A desktop Computer power in a portable laptop size,
mobile processor=less battery and therefore less heat and less power than desktop. has to be to reduce battery drain.
hard disks spin and so take more power than a solid state drive (USB pendrive)

Can Platinum be installed on Multiple Computers?(concurrent access)

Platinum can be installed on multiple computers but is then charged at a cost-per-computer license,
but if you need only home access after hours you can get a remote solution for a one-off setup charge

In other words Platinum can be downloaded or loaded from the demo disk onto as many computers as you need,
but you will have to pay for each individual license.

If you have two computers you will have to pay for two Platinums,
although we are always happy to discuss a discount for numbers after the initial one.

I'm converting from another system what are the data transfer and completion timescales?(client database importing imported spreadsheet csv existing clients)

We need to look at the other systems data firstly to make sure of no suprises.
We will quote you for the work firstly but it is usually a fair-priced fraction
of your current yearly fee to them.
If we have converted from them before it will help a lot on cost to you and timescale.
We can usually convert over a two day time frame, usually Saturday late PM until Tuesday early AM.

Importing from a spreadsheet or more "flat file" like a text or Word file is far faster.

What happened to UniSalons, I believe they are no longer in business? (unisalon)

How does the free software work?

We do a genuinely free cut-down version of our software, it is completely free to use and
allows you to computerise your business and get rid of just those messy
paper customer record cards.  You can store customer name and contact details, and
make short notes on customers history, etc. It basically replaces paper
customer cards and allows you to easily lookup a customers details in future with
the computer rather than wading through paper cards.

To get it you just need to use our software for the free 30 day trial period and
then you will get a basic license to use the customer lookup features for free.
